Please read our Fundraising Terms and Conditions. By reading these and completing the Community Fundraising Registration Form, you agree to hold your fundraising event (the "Event") in accordance with Gumboot Friday event guidelines as outlined herein.
The New Zealand Government has developed legislation governing the conduct of fundraising. Under the 2005 Charities Act, anyone wishing to raise money for charitable purposes must hold an authority to fundraise from the organisation. So before you get started in your fundraising for Gumboot Friday, agreeing to these terms allows us to authorise your fundraising activity. All individuals, groups or organisations who wish to fundraise must register, whatever the size of the event or the donation, including cash or in-kind. The Fundraising Terms & Conditions are designed to assist you in planning your fundraising activities.
In addition to these terms, we ask all volunteers and fundraisers to adhere to our Code of Conduct to maintain a consistent and professional approach while engaging with the public. This includes:
• Representation: As a fundraiser for Gumboot Friday, you are expected to uphold the highest standards of professionalism, respect, and courtesy at all times, embodying our unwavering commitment to equality and non-discrimination. Please be advised that our expectations of inclusivity and respect for all extends beyond official duties to all personal conduct. We maintain the right to end our association with anyone who fails to live up to these essential standards, reinforcing our pledge to foster a supportive and respectful community environment.
• Communication: Be transparent about the aim of the fundraiser and where the donations will be directed. Use polite, clear, and appropriate language while communicating with the public, avoiding aggressive or confrontational behaviour. Due to limited resources, Gumboot Friday is not able to take a coordination role in your event, such as assistance with ticket sales, soliciting prizes or organising celebrities unless otherwise agreed.
• Fundraising Practices: Inform donors that the preferred method of donation is via scanning the QR code, which directs them to our official online donation page. Please refrain from accepting cash donations, directing interested donors to the QR code for secure, online contributions. Note, Gumboot Friday requires that there be no door-to-door appeals, street collections, or telephone solicitation of any kind in connection with the Event. In other instances, the Event, including the financial aspects, fundraising, raffles, record keeping, and management of the Event shall be conducted in your (the Fundraiser’s) name and is the sole responsibility of the Fundraiser.
• Safety and Legal Compliances: Maintain a respectable distance when engaging with the public, respecting individuals’ personal space and complying with all local laws and regulations while fundraising. The Fundraiser’s arrangements for the Event must be planned with the approval of Gumboot Friday and a reasonable level of liaison and information about the Event is expected. Any changes made from the original details provided on the Fundraising Form must be reported to Gumboot Friday and may result in a review of authorisation.
• Confidentiality and Privacy: Respect the privacy of donors; do not take photographs or make audio/video recordings without explicit consent.
• Reporting: Report any noteworthy incidents, positive or negative, to Gumboot Friday as soon as possible.
• Any expenditure involved with the conduct of your fundraiser and any dispersion of funds and profits resulting from a fundraising appeal must be properly authorised by Gumboot Friday beforehand.
• The Fundraiser must take all reasonable steps to ensure that the expenses do not exceed a fair and reasonable proportion of the gross proceeds obtained from the event.
• The proceeds of the Event are to be sent to Gumboot Friday within 14 days of the conclusion of the Event.
• Individual receipts for tax deductions for supporters of the Event can be issued by Gumboot Friday if that supporter makes a donation of $10.00 or more. If supporters would like receipts, The Fundraiser is to send Gumboot Friday a list including name, phone number, email address, and donation amount in a CSV or Excel file format.
• When the supporter has received goods or services in return for money given, for example purchased raffle tickets or prizes at auction, a tax-deductible receipt cannot be issued.
• For donated goods and services Gumboot Friday requires correspondence from the company or individual stating the donated value of goods or services to the event.
• The Fundraiser has no right to the names Gumboot Friday or Gumboot Friday Charity. Nor is the Fundraiser given the right to raise funds in those names. This means you cannot call your event a Gumboot Friday event i.e. A Gumboot Friday Trivia Night; however you can call it an event supporting Gumboot Friday.
• Gumboot Friday can authorise the use of a line of copy stating the relationship between the Fundraiser and Gumboot Friday for all fundraising promotional material. Recommended wording would be, ‘This event proudly supports Gumboot Friday’ or ‘Funds raised will assist Gumboot Friday to provide young people with free and timely counselling’.
• Any printed materials or advertisements to be used by the Fundraiser in relation to the Event must be submitted to Gumboot Friday for approval and must also state how the proceeds from the event are to benefit Gumboot Friday, e.g. ‘all proceeds from this event’ or ‘all proceeds from the auction’. Please allow 5 days for approval of your material.
• If the Fundraiser wishes to use Gumboot Friday logo on any materials or products, the Fundraiser must obtain prior permission from Gumboot Friday. Gumboot Friday does not encourage the use of young people who have used Gumboot Friday counselling in events or in the media in any way that would compromise their privacy. Should you wish to include some stories; testimonials or case studies in your promotional material Gumboot Friday will be able to provide you with appropriate material.
• All media materials and press releases must be approved by Gumboot Friday prior to circulation. Please allow 5 days for approval and we are happy to discuss any ideas you may have and provide an example press release.
• A Gumboot Friday representative can be arranged to attend your event depending on availability. At least 3-weeks’ notice is required.
• Some activities require permits e.g. raffles where the total prize pool is over a certain amount. Permits are also required by councils and shopping centres for outdoor events. If you have any queries please contact Gumboot Friday at events@gumbootfriday.org.nz.
• All aspects of financial and public liability and public safety are the responsibility of the event organiser. As Gumboot Friday is not the event organiser we are unable to cover any liability on your behalf.
• The Fundraiser agrees to release Gumboot Friday (and the I Am Hope Foundation) to the fullest extent permissible under law for all claims, except where such liability arises because of the negligence of Gumboot Friday or its agents. Therefore, please ensure that any space or venue used for your fundraising activities has the required public liability insurance.
